sessiondata.ai — Participant Terms of Use

Welcome. These Participant Terms of Use (the "Terms") explain your rights and responsibilities when you use sessiondata.ai as a participant in a learning session, leadership programme, or similar event.
sessiondata.ai is operated by The Session Data Company Ltd, a company registered in England & Wales ("we", "us", "our", or "sessiondata").
Please read these Terms carefully. By using the Platform — for example, by completing a survey, joining a session, or replying to a prompt — you agree to them.
If you do not agree, please do not use the Platform. You can always ask your facilitator or programme lead how to give feedback in another way.
1. What sessiondata.ai is
sessiondata.ai is a tool that helps organisations capture and make sense of feedback from live sessions — things like leadership programmes, workshops, and team conversations. You have probably been invited to use it by your employer, your programme organiser, or a facilitator they have engaged ("the Organisation").
You will be asked to:
- Answer survey questions about a session
- Occasionally share brief written reflections
- Possibly interact with an AI assistant (called Mira) that helps summarise and make sense of feedback
2. Your relationship with the Organisation
The Organisation — not sessiondata — decides:
- Which sessions and programmes to run on the Platform
- What questions to ask you
- Who in the Organisation can see your responses
- How your feedback is used after the session
If you have questions about why you are being asked, who will see your answers, or how your feedback will be used internally, those questions should go to the Organisation that invited you.

3. Your data and your privacy
3.1 Data controller
The Organisation that invited you is the data controller for your feedback and your account information. We act as the data processor — meaning we handle your data on the Organisation's behalf and only as instructed by them.
3.2 How we protect your data
We take the protection of your data seriously. We store all data in the United Kingdom (AWS London), use row-level security, role-based access controls, and encryption. We keep audit logs so that only authorised people see what they are supposed to see.
3.3 Your rights under UK GDPR
You have rights over your personal data, including the right to access, correct, or delete it, and the right to object to certain uses. To exercise these rights, please contact the Organisation first (since they are the data controller). If you cannot reach them or need help, contact us at hello@sessiondata.ai and we will help route your request.
3.4 How we use data to improve the Platform
We may use fully anonymised and aggregated data to improve the Platform — for example, to make Mira's summaries more useful or to improve overall analytics. This never includes anything that could identify you.
4. Being honest and respectful
When you give feedback through the Platform, please:
- Share your genuine view — honest feedback is what makes the Platform useful
- Be respectful of the people you are giving feedback about
- Avoid sharing personal data about other people beyond what is needed for the feedback
- Avoid content that is unlawful, harassing, discriminatory, or defamatory
We may remove content that clearly breaches this, and the Organisation may take action in line with its own policies.
5. About Mira and AI features
Some parts of the Platform use AI (including our assistant Mira) to summarise and reflect on feedback.
A few things to know:
- AI outputs are generated by a model and may contain errors, miss nuance, or mischaracterise what you said
- AI outputs are a starting point for conversation, not a final judgement about anyone
- Decisions that materially affect you — like performance reviews, promotions, or any formal assessment — should not be based solely on AI outputs, and the Organisation is required under these Terms not to do so

6. Your account
If you have a personal login, please keep it to yourself. Don't share your password, and don't log in as someone else. Let us know at hello@sessiondata.ai if you think your account has been accessed by someone who shouldn't have.
7. What you can and can't do
You are welcome to:
- Use the Platform as intended to give feedback and view your own responses and any exports shared with you
- Export or keep a copy of your own responses where the Platform allows it
Please do not:
- Try to access another participant's data or another Organisation's space
- Try to reverse-engineer, scrape, or extract data from the Platform outside the features provided
- Use the Platform to harass or discriminate against anyone
- Upload content you do not have the right to share
8. Availability and changes
We do our best to keep the Platform running smoothly, but we cannot promise it will always be available. Features may change, improve, or occasionally be unavailable for maintenance.
We may update these Terms from time to time. If we make a material change, we will let you know the next time you use the Platform. Continuing to use the Platform after that means you accept the updated Terms.
9. Our responsibility
We provide the Platform with reasonable care and skill. To the extent permitted by law, we are not responsible for:
- Decisions the Organisation makes using the Platform
- Losses that arise indirectly from your use of the Platform
Nothing in these Terms limits our responsibility for anything that cannot be limited by law, including death or personal injury caused by negligence, or fraud.
10. Governing law
These Terms are governed by the laws of England & Wales, and the courts of England & Wales have jurisdiction over any disputes.
